For our client, an international company in Financial Services, we are looking for a Management Assistant on a long-term basis who will provide support to the Country and the Office Manager with daily administration and back office sales support to the Brussels office staff.


• Support the Manager in managing budgets, team & client meetings and board meetings
• Support staff with presentations, letters and translations, when needed
• Organise customer events and customer meetings
• Manage the daily administration of the office (mail distribution, visitors, DHL, handling plateforms such as BE Park, meal vouchers)
• Organise meetings, catering, make travel reservations, hotel bookings, etc
• Manage Purchase Order
• Establish and maintain filing records to ensure that all information is up to date and available
• Order stationery and supplies as needed
• Provide back office support to internal administrative process to ensure Sales Team can function more efficiently with their customers
• Liaise with the head of office in Paris and London to follow through administrative processes
• Undertake any ad-hoc project work as requested and ensure that all work undertaken is completed to the agreed time scale and quality
• Function as a backup for the Office Manager in her absence for urgent office management and/or HR issues


• You have a high school or bachelor’s degree
• You have a solid experience in secretarial and administrative support position, ideally in an international
• You have excellent communication skills – written and oral – in English and you are proficient in French or Dutch, knowledge of French is a plus
• You are proficient in MS OFFICE: Word / Excel /PowerPoint /Outlook and knowledge of tools such as Ariba, Concur is much appreciated
• You are proactive, energetic team player, punctual and independent
• Excellent organizational with an ability to think proactively and managing multiple priorities
• You are customer and business oriented and able to handle highly confidential and sensitive information
